Privacy Policy
Last updated: May 8, 2026
VisaProofs only processes personal data needed to fulfil your order and comply with legal obligations. We do not sell personal data and we limit sharing to processors that help run the service (payments, email, hosting, airline booking channels).
A. Overview
This Privacy Policy describes how VisaProofs ("we", "us") handles information when you browse https://visaproofs.com, create a booking enquiry, complete checkout, or contact visaproofs@gmail.com.
B. Roles and Responsibilities
For personal data relating to bookings placed through our site, VisaProofs typically acts as the controller of booking and contact records. Reservation or industry partners may operate under their own policies when they process data on our behalf.
C. Information We Collect
Depending on how you use the service, we may process:
- Identity and travel inputs — name (as provided), date of birth, nationality, route, dates, and related fields needed to prepare your Standard itinerary document.
- Contact details — email address used for delivery and support; other contact details if you provide them on our support forms.
- Order records — order reference, product type, timestamps, and communications about your order.
- Technical data — IP address, device/browser type, regional signals used to show appropriate pricing or language, and security logs needed to protect the site.
- Cookies — essential cookies needed for checkout, preference, geo-pricing or similar site features; analytics cookies only if configured and disclosed in-product.
We do not intentionally collect passport images, scans, banking credentials, or full payment card numbers on VisaProofs infrastructure. Payments are handled by certified payment providers.
D. Sources of Information
Most data comes directly from you (forms, checkout, email). Technical data comes from normal website operation (servers, CDN, analytics where enabled).
E. Why We Process Data (Purposes)
- Provide flight itinerary documents you purchase or request.
- Process payment and send receipts.
- Deliver PDFs by email and respond to support requests.
- Prevent fraud and secure our infrastructure.
- Meet legal obligations and defend legal claims.
- Improve reliability and usability of our website.
F. Sharing and Processors
We share data only when necessary:
- Payments — payment processors charge your card according to their terms and industry security standards (e.g., PCI DSS). We receive limited transactional metadata needed to confirm payment.
- Operational tools — email delivery, hosting, customer support tooling, and security monitoring.
- Airline / reservation partners — where we engage third parties to assemble or format itinerary data, we share only what is needed for your order and applicable security.
- Legal requests — when required by law or to protect rights, safety, and integrity of services.
We require processors to use data only for the purpose we engage them and to apply appropriate safeguards.
G. International Transfers
Our infrastructure and partners may be located outside your country. Where personal data is transferred internationally, we take steps consistent with applicable law (including appropriate safeguards where required).
H. Retention
We keep booking and contact records for the period needed to provide support, handle disputes, meet tax/accounting rules, and operate the business. When retention ends, we delete or anonymise data where feasible. You may request deletion subject to legal exceptions.
I. Security
We use encryption in transit (HTTPS), access controls, and vendor security practices appropriate to the risk. No method of transmission or storage is 100% secure; contact us immediately if you suspect unauthorised access.
J. Your Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain processing, and to lodge a complaint with a supervisory authority. To make a request, email visaproofs@gmail.com with your order reference (if any) and a clear description of the request. We will verify and respond within a reasonable time.
K. Children
The service is not directed at children. If you believe we have collected data from a child without appropriate consent, contact us and we will take appropriate steps.
L. Changes
We may update this policy to reflect product, legal, or regulatory changes. The "Last updated" date will change when we do. Material changes may be highlighted on the site or by email where appropriate.
